From insurance agent CSV to a usable CRM list

A straightforward workflow for preserving identifiers, mapping fields, and reviewing duplicates.

Keep an untouched copy

Extract your .csv.gz download and save a copy of the CSV before making changes. The nationwide dataset is large, so your CRM or spreadsheet may need multiple import batches. The data has 25 columns; blank values represent fields not supplied in the record.

Prepare your field mapping

Treat NPN, license numbers, postal codes, and phone numbers as text so leading zeros are preserved. Map name, email, phone, city, state, and agency into the fields your CRM expects. Preserve source and snapshot information in custom properties when possible.

Review duplicates before importing

Decide whether your system identifies contacts by email, NPN, or another key. A single email may be shared by an agency, and some rows have no email. Run a small test import and review the outcome before submitting a full batch.

Use the data with care

A publicly reported contact address is not evidence of marketing consent. Apply your own suppression rules and recipient preferences. Separate research and recruiting workflows from any automated campaign, and keep source context attached to the records.
